Job Description - Duties and Responsibilities

  • Plans, organizes, directs, coordinates, and supervises the activities of receiving, storing, and controlling the issue materials and supplies;
  • Directs and supervises the systematic arrangement, shelving, and location of materials
  • Directs and checks the proper and up-to-date recording and balancing of stocks.
  • Directs and supervises the physical inventory following established schedules and also conducts surprise or spot-checking inspections.
  • Prepares annual material requirements of the Branch Office using material management techniques and formulas.
  • Directs the establishment of minimum-maximum stock levels; supervises the proper recording of all receipts and issues on stock cards and ensures the maintenance of exact, up-to-date information on stock balances.
  • Ensures the proper receiving, storage, issuance, and delivery operations of stores and also the provision of adequate storage facilities, security, safety, and fire or accident prevention.
  •  Passes purchase requisitions to the procurement unit on time with exact economic order quantities, specifications, and other necessary information on those items whose stock balances have reached reorder levels
  • Checks stock conditions, and classifies and reports stocks, which are fast-moving, medium moving and slow-moving.
  • Monitors the flow of materials, store handling methods, store layout, and store yards are properly managed.
  • Ensures and follows up that the receiving, recording, and issuing practices comply with established procedures and methods of operation.
  • Ensures and follows up on the proper provision of identification and coding of items.
  • Ensures that annual inventory of materials in stores is taken and submitted to the Division.
  • Guides the correct and safe storage of stock items.
  • Ensures that materials and products are adequately protected against fire, theft, temperature, humidity, excessive aging, and other damages.
  • Compiles and submits stock status report according to standing instructions and whenever requested
  • Ensures that the receiving and issuing records are timely distributed to concerned functional units

Job Requirements, Qualifications, Skills, and competence required for the position

  • Education: Bachelor’s Degree in Procurement & Supplies Management/ Economics/ Accounting/ Management
  • Work Experience: 8(eight) years of experience out of which three years in a supervisory position
  • Skills and Competences: Strong analytical and problem-solving skills, with the ability to identify trends, anticipate issues, and propose effective solutions. Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously. Strong attention to detail and accuracy, with the ability to maintain precise inventory records and analyze complex data sets. Proficiency in inventory management software and systems, as well as Microsoft Office Suite (particularly Excel) for data analysis and reporting. Knowledge of supply chain logistics, including transportation, warehousing, and distribution.
  • Salary: As per the company scale.
